What are "People" in the Control Panel?
People refers to users with assigned roles at your event. This includes the Admins, Speakers, Artists, Exhibitors, Sponsors and Staff. It also includes all your Attendees who have signed up.
What happens when I enter a user's email address while adding a person?
We search the SCHED* user database to see if the email address is already connected to a user. If the person exists, you can use the existing account to create the profile for the person.
Do you send a notification email to users when they are added as a Person (like Admin, Speaker, Artists, etc) on my site?
Yes, all users receive a welcome email notifying them they have been added in a particular role to your site.
Can I add more than one person like Speakers or Attendees at a time?
You can quickly import many users at once by using the spreadsheet templates on the Import Data page. When using the spreadsheet template to upload users, descriptions/bios are limited to 250 characters but you can add additional bio information once imported into your site.
Is it possible to export my event's people & attendee data?
Yes, you can export your data at any time as an Excel (CSV) by visting the Importing & Exporting page in Settings.
Can I assign passwords for users to log in with?
Passwords can only be assigned to users when importing them using the spreadsheet templates. Otherwise, passwords are set the first time the user logs in.
Can I assign usernames?
You can not assign user names as they are automatically assigned.
Can users log in with their email address?
Yes all users can log into the site using either their email address or username and password.
Do I need to include an email address for people that I add?
An email address is required to add users to your site however you can use a dummy email address if you do not have one available. The suggested format is FirstName.LastName@sched.org. Be sure to use an @sched.org email address as our server is specially designed to handle these requests.
Can attendees see everyone else?
Attendees can see other public attendees. Users can choose to set their accounts to private in their profile settings.

Administrators

What is an Admin?
You are an Admin! Admins have access to the Control Panel for your site. This includes the ability to edit all aspects of your SCHED* site including people, venues, sessions and settings.
Who should I make an Admin?
Anyone who will be adding and managing data for your event should be made an Admin.
How do I add Admins?
Go to the People tab and select Add New Person. A notification email will be sent to any new administrators you add to your site.
What is the difference between an Admin and Staff? Why would I make someone staff and not an Admin?
Users added as staff do not have access to the administrative side of your site you are viewing currently. They can only access the public schedule. These specific users are given special designation within the People Directory as "Staff".

Speakers, Artists, Sponsors, Exhibitors, Staff & Attendees

How do I add speakers, sponsors, exhibitors, staff and attendees?
Go to the People tab and select Add New Person. Be sure to select the appropriate role for the user you are adding from the drop down menu.
Where do users with roles like Speakers appear on the attendee facing site? Is there a speaker list on the attendee facing site?
All users with roles appear in the People Directory. Users like Speakers appear in the sessions that they are attached to.
Is there an Exhibitor List on the attendee facing site?
If you have added Exhibitors, they will be visible in the People Directory → Exhibitors section.
Is there a Sponsor List on the attendee facing site?
If you have added Sponsors, they will be visible in the People Directory → Sponsors section.
How do I upload an image for my speakers, admins, artists, exhibitors, sponsors and staff?
Hover over the image for any speaker you have added and select "upload image".
How do I add a relevant blog or URL for my speakers and other People?
Go to People and hover over the profile. Select "edit profile" and insert a URL in the Home Page/Blog field
How do I edit a profile for my speakers?
Go to People tab and hover over the profile. Select "edit profile".
How do I add a new person, like a speaker, to my sessions?
On the Add New Session page you will see a drop down menu letting you choose an existing person. You can access the same drop down menu while editing sessions that already exist too.
Can I add bold, italics or underline to my speaker's bio page?
Yes, this formatting is permitted on your speaker's bio pages. Simply select a user on the People tab and choose "edit profile".

Eventbrite Integration

What is SCHED*'s registrant integration with Eventbrite do?
Setup Eventbrite integration to automatically:
  • Imports existing Eventbrite registrants from your account
  • Creates SCHED* accounts for those registrants
  • Email them a welcome message with login credentials for your SCHED* site
  • Keeps your SCHED* site synchronized with new registrants from Eventbrite by importing new daily
NOTE: You should not implement the integration until you are ready to share your SCHED* site with your attendees, since it will email them automatically with a link to your public schedule.
